Marketing & Communications Coordinator

Valley National Financial Advisors is seeking a full-time Marketing & Communications Coordinator who will work directly with the Chief Marketing Officer to coordinate, execute, and monitor marketing and communication efforts.  This individual should be an excellent writer and have experience using various social media platforms. 

The ideal candidate should possess the following qualities:

  • An enthusiastic, hungry attitude: Someone who loves communications and is excited to make an impact. 
  • Tech-savvy: Able to pick up anything online quickly and easily – and keen to try new systems 
  • Basic Microsoft office (365 preferred): Able to work comfortably in a professional office environment. 
  • Admin & editing: Proofreading, formatting, and editing – ideally this is a detail orientated person who will catch the little things. 
  • Email/Mailchimp/CRM: Capable of quickly learning systems. 
  • Some graphic design: Able to use Publisher/Paint, design simple email templates, create images or GIFs for social, resize imagery, etc.
  • Website editing and design: WordPress and HTML knowledge and experience. 
  • Reporting: Able to put together simple reports on key numbers such as Google Analytics, social media followers, number of proposals and quotes and prospects and clients, etc.

RESPONSIBILITIES

  • Manage social media editorial calendar and post valuable, shareable content regularly, ensuring association is positioned as an industry leader online
  • Coordinate and execute e-mail campaigns, meeting deadlines, following timelines, and ensuring uniformity of content/messaging.
  • Review and ensure quality of marketing distribution lists, create lists as needed
  • Writes and edits member newsletters, emails, and other communications as assigned.
  • Tracks and reports email analytics
  • Work with vendors to troubleshoot problems with the website and respond to user requests and comments

QUALIFICIATIONS

  • A Bachelor’s or Associates degree in communications, marketing, or journalism OR 2-3 years of related work experience.
  • Proficiency in Excel, Word, and PowerPoint, Microsoft 365 preferred
  • Ability to handle multiple projects at once, with a built-in sense for what should be prioritized
  • Strong attention to detail is a must
  • Some knowledge of WordPress, HTML preferred.
  • Knowledge or experience working with Email Solution Providers (e.g.,MailChimp)
  • Familiarity with customer relationship management systems

Valley National Financial Advisors is seeking an experienced tax preparer to join our team. This role will be responsible for a high volume of income tax preparation for individuals, trusts, and businesses in addition to year-round tax planning.  A successful candidate must be able to work independently as well as in conjunction with Financial Advisors to serve our clients. 

The professional in this role: Identifies potential tax credits and liabilities and ensures accurate and complete returns are filed in a timely manner. Completes tax forms in accordance with policies and in compliance with legislation and regulations. Assists Financial Advisors with income tax analysis and research.  Ensures our clients receive fast, accurate, professional services, with the best possible outcome for the tax challenges they face or the ongoing services they need.

Qualifications / Desired Skills

  • 5 years of direct 1040, various states, estate, gift tax, and trust tax preparation and review experience, preferably for a high-volume, reputable tax firm
  • CPA or EA designation, or currently pursuing
  • Extensive knowledge of Federal, state and local tax rules and regulations
  • Strong candidates will be well versed in working with the following…• ProSystems / CCH Axcess suite of tax preparation tools (including, but not limited to CCH Workstream, CCH ProSystem FX Scan & Autoflow, and CCH Axcess Tax)o Adobe Acrobat (PDF documents)
  • Microsoft Word, Excel, Outlook and CCH IntelliConnect
  • Candidates MUST have the ability to work independently as well as collaboratively as part of the Tax Department to make an impact for clients and the firm.

Primary responsibilities

  • Preparation and filing of tax returns for clients (individual, estate, trust, gift and small business).
  • Daily client interaction as required to complete client tax returns, and assist clients with tax related notices and audits.
  • Managing tasks effectively through software.
  • Updating client information and status in both the tax software and client management system.
  • Responding to problems, interfacing with appropriate key people and departmental personnel so that client needs will be handled correctly and promptly.
  • Work alongside Financial Advisors to perform client tax projections, year-end calculations, and ad hoc tax projects.
  • Master financial software and learn to input key data points quickly and efficiently.
  • Research complex tax items via IntelliConnect.

Team VNFA seeks a motivated, self-starting, passionate leader to join our Bethlehem Office in the role of Client Service Manager. The Client Service Manager will oversee client-facing support staff and be responsible for procedures contributing to the client experience.

Responsibilities

  • Lead, mentor and support a team of seasoned Client Service professionals.
  • Represent Client Service Dept on Board of Managers, reporting to Executive Team CEO.
  • Identify and implement problem-solving, training, and accountability metrics for the service team.
  • Leverage technology to create new ways of working that will create capacity for staff and WOW clients.
  • Establish efficient and balanced workflows that maximize capacity and produce high levels of service quality and customer satisfaction.
  • Work with HR to assist in recruiting and onboarding new client service professionals, as applicable.
  • Engage regularly with the Operations Manager and Compliance Department to discuss cross-departmental dynamics, opportunities for improvement, risks and issues.
  • Act as a role model in setting the standard of care for our clients and coworkers.
  • Communicate regularly with the team, reinforcing company-wide messages and ensuring the team feels informed about and connected to firm wide goals and initiatives.
  • Serve as a resource for questions or issues that need escalation while also providing direction and coaching for others to learn to find answers for themselves.
  • Operate productively in a team-based environment where teammates help each other in times of heavy workload and are all working toward meeting the needs of the client.


Required Skills/Experience

  • At least 5 years’ process/project management experience. *Financial Services experience a plus.
  • Ability to communicate effectively to stakeholders at all levels, including executives, financial advisors and other managers, in a process-driven fast-paced work environment
  • Builds a culture of trust and transparency that fosters a positive work environment.
  • Proficient in various technology platforms such as Microsoft 365, DocuSign and CRM software, preferably Tamarac

ESSENTIAL DUTIES / REPONSIBILITIES

  • Handle client service requests, such as money movement and distribution, general questions involving mutual fund, equity and ETF transactions, investment reports and statement service, tax preparation and filing questions.
  • Gathers and assists with completion of paperwork for clients
  • Assists advisors as needed with preparation of reports for client review meetings
  • Assists with client mailings
  • Maintains executive calendaring and scheduling
  • Manage client touch patterns and client review workflows and processes
  • Completes other projects as needed
  • Front desk coverage and the responsibilities that come along with it

QUALIFICATIONS / REQUIREMENTS

  • At least 5 years of administrative experience, preferably in the financial services or brokerage industry.
  • Excellent command of English to be able to speak, read, and write fluently
  • Dedication to detail and accuracy
  • Proficiency in Microsoft Office (Word, Outlook, Excel)
  • Ability to follow directions and work with minimum supervision
  • Excellent administrative, time management, and organizational skills
  • Ability to maintain client confidentiality
  • Ability to manage multiple deadlines within the 40-hour work week
  • Financial Services office experience (or applicable law office experience)

Valley National Financial Advisors is accepting applications for full-time Client Service Representatives. This role includes a significant amount of client contact and is pivotal in reinforcing the long-term relationships we have with our clients.

ESSENTIAL DUTIES / REPONSIBILITIES

  • Pro-active client service liaison – i.e. front line contact for clients, addressing basic questions regarding investments, tax and financial planning.
  • Assist team with preparation for client-advisor meetings – i.e. data gathering, scenario building, plan development, asset allocations, statements, paperwork, running reports.
  • Investment Advisory Support – i.e. rebalance portfolios and execute trades, manage DCA/ICE/AIP/AWP processes, monitor cash balances, prepare performance reports and analyze portfolios using MorningStar, assist financial advisors with implementation of portfolio strategy
  • Client information support – i.e. requesting data on payroll, 401k, stock compensation plans, brokerage account information, etc.
  • Online money movement – i.e. Required Minimum Distributions and Roth conversions.
  • Backup Administrative Assistant on account paperwork, scheduling and calls/emails.
  • Backup Administrative Assistant in responding to Schwab alerts and assist in resolutions.
  • Assist with Financial Planning data collection, input, development and presentation prep.
  • Income Tax service support – i.e. basic prep and revisions per advisor instruction, handle client questions, update vouchers and print schedules.
  • Special projects, as assigned by the financial advisors

QUALIFICATIONS / REQUIREMENTS

  • 3-5 years of experience at an RIA or brokerage firm
  • Series 65 licensed with a clean record
  • Tax planning and 1040 preparation experience
  • Experience working with CRM software (Tamarac experience is preferred)
  • Experience working with large wealth management client service platforms,
    – Charles Schwab Advisory platform experience preferred;
    – MorningStar Office Suite experience preferred.
  • Strong financial and analytical skills
  • Organized, with a strong attention to detail
  • High standards for client service and confidentiality
  • Ability to manage and effectively prioritize multiple projects
